After School (Club & After Care) Policies & Procedures

Trimester Club Payment 

1. Please note that all families must pre-pay for all clubs in order to participate in the program.  An approximately eleven calendar week course will cost about $250 this year although some will have additional supply fees, and some programs from external vendors will charge a different rate.  Payment is due by 3:00 pm on Friday, March 15 or a student will lose their spot.  If a child does not register and pay before the course begins, they will not be eligible to participate.  

2. HCS doesn’t offer refunds, credit,  make-up sessions for missed classes, trade, or transfer, once the program begins on Monday, March 18, 2024. If the participant has a medical condition and can no longer attend the program, cancellation will be handled on an individual basis depending on the physician’s recommendations and medical documentation. We know that this is a substantial amount of money to pay upfront, especially if your child participates daily, so if you would like, you can submit two checks divided equally with registration. We will hold the second check for thirty days before depositing it. A $35 bounced check fees will be charged for all checks returned by a financial institution. Repayment shall be required to be made by money order or cashier’s check. 

3. Students who qualify and are verified by the U.S. Department of Agriculture or through the Direct Certification process as having free or reduced lunch status will be able to participate at no charge during the 2023-2024 school year. 4. Most trimester clubs will run from 3:00-4:30 pm Mondays through Fridays, according to the 2023-2024 academic calendar.

After Care Drop-in Payment

1. If your child will be attending the After Care program from 3:00-5:30, please complete the drop-in enrollment form and attach a check for the total amount your child will be attending. The rate for After Care is $15.00 per hour, no sibling discount – must pay $15 for partial hours (e.g. drop in from 3:00-4:15 would be $30/child). If a child enrolls in an enrichment club and proceeds to drop-in after class, the family will be responsible for the cost of the enrichment class plus the time spent in Drop-in.  As a courtesy,  you may be contacted if your account is running a low balance or delinquent; however, it is the parent’s responsibility to know their account balances and make payments in a timely manner. Also, please keep track of your credit and use it on the next drop-in form. Credit must be used by the last day of the current school year, no rollover. 

2. The first time you are late for pick-up; you will be charged a $25.00 late fee (per child), plus the cost of the additional time. The second time a child is picked up late; they will not be able to continue participating in the program. 

3. Payment should be made via check or money order written out to Hoboken Charter School with a memo of After School Enrichment Clubs or Drop-in.  Please retain all canceled checks for your records. Our Tax ID number is 22-3517040. 

Behavior Policies and Guidelines

HCS is committed to providing a safe, positive, and structured environment for all children in the after-school program. To make the most out of their time spent in the after school program, we need all students to follow appropriate behavior at all times. This allows us to maintain the quality and safety of every activity and for all participating students.  If a child is struggling with behavior during after school hours,  parents will be contacted to determine the course of action. No disruptive behavior, including hitting, kicking, punching, play fighting and/or fighting, violence of any kind, or inappropriate language is tolerated in the after school program. We ask you to discuss the behavior guidelines listed in the Student Handbook  with your child. We appreciate your efforts and thank you for your continued support in making appropriate behavior a priority for your child.
